- General-purpose AI loves to mention the procedure, the appointment or the reviewer’s name.

Every draft is checked by a deterministic rule-set for “your visit”, treatments, dates, insurance, names and promises before you see it. Drafts that fail are regenerated or handed back to you to write.
Simple replies to 1–2★ reviews
Modelled on the plain “Thank you for your feedback. We’d welcome the chance to talk — please call the office at …” pattern. No apology for a “disappointed patient”, no acknowledgement of any relationship. (Wording still needs legal review.)
Approve from a private link

Questions
Is it HIPAA-compliant or HIPAA-certified?
No. There is no official “HIPAA certification” for software, and we make no such claim. Replies are designed to avoid patient details and to never confirm someone is a patient; please paste only the public review text and check with your compliance advisor. The wording of the 1–2★ pattern has not been through legal review yet.
Why are the replies to bad reviews so short?
Because public replies that engage with details are where practices get into trouble. The pattern is a brief thanks and an invitation to call the office — nothing that acknowledges a visit or argues the case.
Does Gladhear post to Google for me?
Not by default. You approve a draft, then copy it to Google yourself. Direct posting through the Google Business Profile API is built but off until Google approves API access.
Can I approve by SMS or WhatsApp?
Coming soon. Today you approve replies in your dashboard; SMS and WhatsApp will follow once sender registration is done.
